Using AI with ComputerEase data

What it takes to ask your job cost, vendor and inventory data questions in plain English, safely.

Can ChatGPT or Copilot read ComputerEase?

Not on their own. Neither has a connection to ComputerEase, and ComputerEase doesn't expose its financial data through its API. An AI assistant can only answer from data it can reach, so the real work is giving it a safe, readable copy of your data and strict limits on what it can see.

Why not paste exports into ChatGPT?

People do, and it's the fastest way to lose control of financial data. Exports end up in someone else's system, answers are only as current as the file, and nobody can check later what was asked or what the AI saw. For anything beyond a one-off, build it properly.

The four pieces

  1. A copy of your data in your own cloud. A nightly extract lands ComputerEase data in Microsoft Fabric or Azure SQL in your tenant.
  2. Readable views. ComputerEase stores codes, not words. Views translate cost types, statuses and your custom fields into plain names, so the AI, and your people, read the same thing.
  3. An agent with read-only tools. The agent answers by running read-only queries against the views it's granted. Purchasing sees purchasing data; only owners see the GL.
  4. Identity and a log. People sign in with their Microsoft accounts, and the system logs every question and query.

The model runs through Microsoft's AI services in your Azure subscription, under your Microsoft agreement.

What people ask

  • Which jobs are over budget on material this month, and by how much?
  • What's our gross margin by job type this year, compared to last year?
  • What commission is owed on the jobs that closed last month?
  • Which vendors have we spent the most with this quarter, and what's still open on their POs?
  • What inventory hasn't moved in 90 days, and what's it worth?
  • Who owes us more than $10,000 past 60 days?

Trusting the answers

  • The agent answers from views your controller reconciled to ComputerEase screens before go-live.
  • It shows the numbers it used, so anyone can check them against a report.
  • It can't change anything. It reads views only and writes nothing back to ComputerEase.
  • The system logs every question, so you can trace a surprising answer.

Beyond chat

Once the data and the agent exist, the same setup can work without being asked: a morning Teams post to each project manager with jobs trending over budget, a Monday cash and AR summary in the owner's Outlook, or an alert when a vendor invoice doesn't match its PO.
